Dubsado 3.0: What’s New and What to Expect

Dubsado 3.0 is not just another update - it's a complete rebuild of the platform that began rolling out in November 2025 and is currently in beta.


The Big Picture

Dubsado 3.0 is not a redesign. It is a complete rebuild of the platform’s structure and interface. The goal is to improve performance, clarity, and ease of use. As with any large rebuild, there will be a transition period while features continue to stabilize.

Dubsado 3.0 is currently in beta. Dubsado 2.0 is still accessible but will be retired at some point in 2026 or 2027.

Both versions stay available during the beta phase so you can test 3.0 without interrupting your work in 2.0.

What’s New in Dubsado 3.0

A Smarter Dashboard

The new dashboard is one of the best updates in Dubsado 3.0. It includes built-in reports that provide meaningful insight into your business, with data like revenue trends, conversion rates, and project performance.

You can customize what appears on your dashboard, including Recently Visited, Waiting on You, Upcoming Events, Projects, Invoices, Tasks, Finance Reports, and Project Reports. The last two are especially valuable because they give you a quick snapshot of your financial and project performance at a glance. Overall, the dashboard now feels like better interface for your key business metrics.

A Modern Look and Flexible Views

The new interface has a clean, Notion-like design that feels light and modern.

You can switch between list and board views when managing projects, invoices, or tasks. It is much easier to show or hide columns, filter what you see, and group information the way you prefer. This flexibility makes it a major upgrade for anyone who prefers visual organization.

Navigation Updates

Navigation is now grouped by work area, such as Messages, Tasks, Events, Invoicing, Forms, and Flows. It may take a little time to get used to, but once you do, it starts to feel logical and efficient. The goal is to make it easier to move around without endless clicking.

Each section also has its own color in the sidebar which helps visually distinguish between Messages, Events, Tasks, Forms, and Flows.

New Inbox (Messages)

The new Messages section is a true inbox. The detached composer is a great addition, letting you write emails while viewing other parts of your account. You can assign or reassign messages to a project directly from the composer and schedule emails for any date or time 🥳. An AI email summary feature is also being tested to help you quickly review long threads.

Updated Invoicing

This area has seen some improvements. You can now edit recurring invoices and adjust invoice dates or amounts without cancelling autopay 🥳. Time tracking is also available directly from the top bar.

Everything related to invoicing is in one place, so you no longer have to move between multiple menus to manage payments.

Scheduler Improvements (Now Called “Events”)

Scheduling feels much smoother and more organized. You can manage your availability in one view, and when a client books an appointment, they can receive an automated calendar invite that updates if they reschedule 🥳. It is a small but important update that makes the process more seamless for both sides.

New Workflow Builder (Now Called “Flows”)

Workflows have been renamed Flows and now use a visual, node-based builder that lets you see how each step connects, making complex automations easier to follow.

The visual builder also hints at future additions like conditional logic which could make automations significantly more powerful once released.

Dubsado 3.0 Updates

Form Response Summary (February 2026)

Completed forms now have a Responses tab that pulls out just the client's answers in a clean, scannable table. No more scrolling through the full styled form to find what they submitted. From the Responses tab you can copy answers to clipboard, export to CSV, preview and download uploaded files, and toggle empty fields on or off. It works with all types of forms, including ones you created before this update.

Project Suggestions (March 2026)

Open any project and you'll now see a card at the top of the overview that surfaces anything that needs your attention. Contracts waiting on your countersignature, workflow steps waiting on your approval, overdue invoices, and projects that have gone quiet for six months or more. Each one has a one-click action to handle it right there.

Bulk Actions (March 2026)

You can now select multiple projects, contacts, tasks, or invoices and act on all of them at once. Apply a flow to multiple projects simultaneously, approve workflow steps across multiple projects in a single click, bulk archive, bulk status changes, and bulk team member assignments. Available across the Projects, Contacts, Tasks, and Invoices views.

Bulk Email Sending (March 2026)

Select any group of contacts or projects, write one email, and Dubsado sends a personalized version to every single person with their name, project name, and invoice details filled in automatically. It looks and feels like it was written just for them, even though it went out to multiple clients at once.

Prevent Client Rescheduling (April 2026)

A new setting in scheduler templates lets you block clients from rescheduling appointments on their own 🥳. When turned on, the reschedule link disappears from the client portal and calendar invites, and existing reschedule links stop working. Clients see a message to contact you directly instead. The setting is per scheduler, so you can allow rescheduling on some and prevent it on others.

To turn it on: Scheduler templates → Advanced → Limits → toggle on "Prevent clients from rescheduling."

Template Tags (April 2026)

You can now tag every template in Dubsado with custom color-coded tags, including packages, forms, flows, and schedulers. When you're inside a project, Dubsado automatically displays the templates that match the project's tag so you're not scrolling through a long list trying to find the right one. You can also archive templates you're not actively using without deleting them!

Redesigned Invoice Builder (May 2026)

The invoice builder has been redesigned. It includes easier inline editing 🥳, a cleaner layout, and settings that are visible directly on the page instead of tucked into menus.

Form Creation Tool (June 2026)

Building a form in Dubsado no longer has to start from a blank page. There are now three ways to get started:

  • Type a sentence: describe what you want the form to do, like “wedding timeline questionnaire, asking about getting ready, travel to location, first look, family photos, ceremony, dinner and reception”

  • Upload a PDF: upload a PDF you already use, like a timeline or onboarding packet, and it converts it into a working form

  • Chat to edit: generate a form first and then describe the changes you want, like "move the venue questions to the top."

At the moment it only builds the form structure: sections, input fields, and smart field mapping to your project and client data. The branding and final design touches are still entirely up to you.

Notetaker (June 2026)

Notetaker joins your video calls and gives you back a recording, a transcript with speaker labels, and a summary, all stored inside Dubsado. For something like an inquiry call, that means you can stay present in the conversation instead of splitting your attention trying to write everything down.

To get started, turn it on in your settings and toggle on auto-joining so it joins automatically whenever someone books through your schedulers that use video conferencing. You can also paste in a meeting link manually to record a call on the spot. Either way, everything ends up in the Notes section, where you can play back the recording, read the summary, and link it to the right project or client.

The settings page also lets you customize how summaries are generated: add business context so they stay relevant to your work, choose a summary tone, and write custom instructions like "always include action items" or "flag any pricing the client mentions."

You can decline it on any individual call if you don't want that one recorded. It's only available in Dubsado 3.0, and currently open to anyone on any plan.

My Review and Impressions

After spending some time with Dubsado 3.0, here is my honest take:

  • Dashboard: The dashboard is a major win. You can finally see finance and project reports that help give insight into your business. I love that you can choose what to display, because some widgets are not so relevant or feel repetitive to me. But once you’ve customized it to what you want to see, it’s so much better than the previous dashboard.

  • Projects: I like that you can switch between table and board layouts and choose which properties to show, hide or group so it’s easier to see exactly what you need. My personal preference is the table view, since the board layout takes up more space and requires quite a bit of scrolling to see everything.
    The only issue I have is that you have to click ‘Load more groups’ to see all of your project statuses at once, so you may miss some projects if you forget to click that.

  • Messages: The new inbox is well-designed, and the detached email composer is really helpful. It makes writing and managing messages inside Dubsado much easier. I like that you can attach the email to a project manually, which wasn’t available before. While the messages area won’t replace Gmail for me, it’s a good improvement.

  • Invoicing: The autopay updates are a major win. Being able to edit invoices or recurring invoices without cancelling autopay is going to be super helpful for a lot of people. I also really like the way you edit invoices now, feels a lot less clunky vs. before.

  • Scheduling: The addition of automatic calendar invites is a huge win that make booking appointments easier for everyone, and is probably reducing the number of no shows people get to their meetings. So you don’t need to use the “Add to Calendar” smart fields in your canned emails anymore!

  • Flows: The underlying logic is the same as 2.0 workflows, so if you were comfortable building there, you already know what flows can do. The visual node-based builder takes some getting used to, especially if you're used to the compact list format, but once you find your way around it becomes manageable. It's a different look, not a different system.

What’s Still Missing in Dubsado 3.0

A few commonly requested features still haven't made it into 3.0 yet, and two of them come up constantly with my clients:

  • Workflow emails still only go to your primary contact. This is the one I hear about most, especially from wedding planners and photographers. Weddings almost always involve two people, and right now Dubsado still won't automatically send your workflow emails to both. If a couple books with you, one of them is going to be left out of every automated confirmation, reminder, and follow-up unless you step in and send it manually. For a business built around client experience, that's a real gap, not a minor inconvenience.

  • Conditional logic inside Flows is still in progress. The new visual builder is clearly built with this in mind eventually, but right now a flow can't branch based on client behavior, like whether someone didn’t book a call or didn’t sign a contract. Once it lands, it'll be a genuinely big deal for anyone running more complex client journeys.

If your client process leans on either of these, plan around them for now rather than assuming 3.0 has you covered.


Should You Switch Now or Wait?

If you haven't explored 3.0 yet, now is a good time to create a test project and click around. Getting familiar with the new layout before you need to use it with clients will make the transition feel much smoother when you're ready.

If you prefer a stable system and want to avoid the occasional bug, you can absolutely take your time. Both versions are still accessible and your data stays synced between them.


Frequently Asked Questions

How do I log into Dubsado 2.0 and Dubsado 3.0?
During the rollout, Dubsado 2.0 and 3.0 are accessed from two separate login links. You can move between both versions at at any time. Your data stays synced, so feel free to explore 3.0 while continuing to run your client work inside 2.0.

When will Dubsado 2.0 officially end?
The exact date hasn’t been confirmed yet, but Dubsado has said it will be sometime in 2026 or 2027. You’ll have plenty of notice before access ends.

Can I use both versions at the same time?
Yes. During the beta period, you’ll be able to access 3.0 from a separate link while still using your current 2.0 setup.

Will my current data and workflows carry over automatically?
Your data carries over automatically between Dubsado 2.0 and 3.0. Take some time to try out Dubsado 3.0 with a test project before switching over.

What about pricing?
If you already have a paid Dubsado plan, your pricing will stay the same. New users who sign up on or after December 1, 2025, will fall under the new pricing model. For the full pricing breakdown, see my Dubsado Pricing guide.

Do I need to switch to Dubsado 3.0 right away?
Not at all. Both versions are still accessible during the beta period. Switch when you feel comfortable with the new interface. Your data stays synced between both versions so there's no rush.
