Using Dubsado as a Coach: Tips and Strategies
How can coaches use Dubsado?
Dubsado is a great CRM for service providers. Because of its features, I recommend it for coaches who are working within a 1:1 client container.
There is no one way to use Dubsado - which is a great thing because you can customize it to your own client process. But here are some way in which Dubsado can help your coaching business:
Lead capture process:
Depending on what stage your business is at, one or more of these options will make sense for this initial stage.
Lead capture forms: potential clients can fill out this form as a first step. It helps you to get a better understanding if they’re a good fit to work with you.
Scheduler: share your scheduler with potential clients to book a discovery call. During the call you can understand where they’re struggling and what they’re looking for. This way you can understand in more depth if they are a good fit to work with you.
Public proposals: these are great if you no longer need to filter potential clients through a discovery call or forms. Public proposals let potential clients sign up for your coaching program as if it were a sales page.
Client onboarding:
Once a client has decided to work with you, these are the features inside of Dubsado that will save you time:
Contracts: clients can sign an electronic contract. The contract details what you expect of your clients and what they can expect from you as their coach.
Invoices: send invoices to your clients after they’ve signed the contract.
Dubsado allows you to structure the payment in the way that works best for you (50/50, 3 installments, etc).
You can send clients payment reminders. Your clients can also use the new autopay feature where payment is collected automatically on the scheduled date(s).
Welcome email: once the contract is signed and the invoice is paid - send your clients a welcome email. You can include a:
welcome packet pdf
a link to the client portal
a link for them to schedule their first session
or a link to the onboarding questionnaire
Try to keep all this information in one email. It will allow them to have a single spot to refer to which is less confusing for the client.
Scheduler: send clients a link to your scheduler to book their initial coaching session.
One downside is Dubsado does not have a recurring appointment option. This is why some coaches choose to use other schedulers that have this option - like Acuity.
To use the Dubsado scheduler for all sessions, clients will have to book each single session. To track the number of appointments, you can set a number of times a scheduler can be used by the same client.
Onboarding questionnaire: send clients an initial questionnaire to fill out before your first session.
You can personalize this questionnaire as much as you want to. You can make it look on brand with all the form features that Dubsado offers.
Client portal: this is the one spot where everything is compiled for your client - much like a membership area.
They’ll be able to refer to all the emails from you, contract, invoice, forms, etc.
Workflows: automate all the steps above using workflows. Tie in to-dos and reminders for yourself to prepare for sessions. Add more canned emails that go out at specific times in a clients process, etc.
Client offboarding:
Once a client has completed their coaching package with you, you can lean on Dubsado to help you with:
Schedule an offboarding call.
Invite them to renew their coaching package.
Ask for a review / testimonial.
Send them a thank you email.
