How to Collect Client Testimonials Automatically with Dubsado

Collecting Client Feedback and Testimonials with Dubsado

By Ema Katiraee, Certified Dubsado Specialist

TL;DR: Dubsado can automate most of your client testimonial and feedback collection. Set up a feedback form, attach it to a workflow, add a Google Review link, and let the reminders run automatically.

If you'd rather skip the building step, I have a ready-to-use Dubsado feedback form template in my shop that you can add to your account with one click.

Asking for client testimonials and feedback is one of those things that's easy to forget and, honestly, a little uncomfortable to do manually. You don't want to come across as pushy, so you end up either not asking at all or asking inconsistently.

Dubsado takes most of that off your plate. With automated forms, reminders, and a built-in way to point clients toward Google Reviews, you can collect client testimonials and feedback consistently, with less effort and without the awkwardness of asking yourself.

Here's how to set it up.

1 - Automate Your Testimonial and Feedback Collection with Workflows

One of the greatest advantages of Dubsado is its ability to automate tasks, including collecting client feedback.

By setting up workflows, you can ensure that you never miss sending out a feedback request. The form is sent to your client at a certain point after their project or service is completed, so you no longer have to worry about remembering.

By automating the process and letting Dubsado take care of it for you, also makes it less scary as it is out of your hands.

Automation adds consistency to your client process, making it easier to collect feedback and testimonials from your clients, and also helping you gather more testimonials than before.

Tip: If you want to make sure the feedback form isn’t sent without your approval, you can add a to-do item in your workflow that allows you to decide if you want to send out the feedback form to a particular client.

2- Make it Easy for Your Clients to Provide Feedback

Instead of asking clients to provide testimonials - which can be a bit overwhelming - consider breaking things down by asking a series of questions first, to help them remember their experience of working with you.

Here are some examples of questions you can ask your clients:

  • What did you enjoy most about working with us?

  • What’s one thing you wish we could have done differently?

  • What would you say to somebody who is thinking about using our services?

Once you’ve asked a few questions, then you can ask them for a testimonial or review that you can share on social media or place on your website.

Dubsado makes this process easier by allowing you to create customizable and on brand feedback forms with a variety of question types (short answers, long answers, checkboxes, radio buttons, etc.)

By asking specific questions about their experience, you can gather more detailed and meaningful testimonials that resonate with people who are thinking of hiring you.

3- Automate Reminders to Collect More Testimonials

People lead busy lives, and sometimes they may forget to submit their feedback.

Dubsado has your back here too. You can set up automated reminders to gently nudge your clients to provide their valuable insights.

These reminders increase the chances of getting feedback from your clients, helping you accumulate a wealth of client experiences.

How to send a Feedback form through a workflow

To send out a Feedback form and reminders in Dubsado workflows

  1. Send the Feedback form

  2. Send the Feedback form ‘after form not submitted’ in X days. So you let it know to watch the Feedback form and see if it’s being completed, and if it’s not completed in X days, to go ahead and send it again.

You can send out multiple reminders if you’d like. No need to worry, because once the feedback form is submitted Dubsado will stop the reminders from being sent out.

  3. Send a thank you email once the form is completed.

Below is an example of this workflow:

IMPORTANT TIP: Make sure you don’t wait to long to ask for feedback and don’t wait to long to send out reminders.

You want to ask for reviews while are still excited about how you’ve helped them, so make sure to ask for reviews shortly after or right before you’ve wrapped up with them. That’s usually the sweet spot to get reviews, and get great ones too.

4- Make it Easy to Gather Testimonials on Google

Ask your clients if they'd be willing to provide a review on platforms like Google Reviews or other review websites like Facebook, The Knot, and more. This expands your online presence and reinforces your reputation as a trusted service provider.

To do this, in your feedback form simply add a button to the platform that you’d like your clients to share their review on.

To make it easier for your clients, let them know they can simply copy and paste the review they provided in the form onto the different platforms.

Doing this has increased the number of Google Reviews I’ve received from clients by a LOT. I went from not having many Google Reviews to having almost every.single.client provide one for me.

Tip: I highly recommend creating a Google Business Profile and collecting reviews on it. Odds are when people are thinking about hiring you, they’ll Google your name or your business name and look for reviews. And if you have a number of great reviews on that site, it makes it easier for people to trust you and want to work with you.

5- Ask for Permission to Share Testimonials on Social Media

If your clients have provided amazing testimonials, chances are they'd be happy to have their positive experiences shared on your social media channels.

Dubsado makes it easy to ask for permission to share their testimonials along with their headshot, adding a personal touch to your online presence.

To do this, simply add the following questions in your Feedback form:

  1. Can we use your review for marketing materials (social media, website, etc.)? Radio button (yes/no)

  2. Can we tag you on social media posts when sharing your review? Radio button (yes/no)

  3. If yes, please include your social media handle Short answer

  4. Can we include your headshot with your testimonial in marketing materials (social media, website, etc.)? Radio button (yes/no)

  5. If yes, please upload a headshot below File uploader
